How to Convert a Prospect to an Insured
  In Momentum AMS, a Prospect becomes an Insured as soon as a policy is added to their profile — whether that policy is created manually or downloaded via a carrier integration.

  The system handles this conversion automatically, but there may be rare cases where a manual conversion is necessary. This article explains both scenarios and shows how to revert a contact back to Prospect if needed. 


Method 1: Automatic Conversion (Default Behavior)

The most common and preferred method.

✅ When does this happen?

  • A manual policy is created and saved

  • A downloaded policy is merged into the prospect record

As soon as any policy exists in the system (Active, Expired, or even Canceled), the status is automatically updated from Prospect to Insured.

You do not need to manually update the status when creating or receiving a policy.


 Method 2: Manual Conversion (Rare)

Use this method only if no policy exists yet, but you want to convert the Prospect to an Insured — for example:

  • You’re preparing documents or certificates in advance

  • The insured has signed a binding agreement, but the policy isn’t entered yet

  • You want full access to insured-only tabs (Certificates, Billing, etc.)


Step-by-Step: Manually Convert a Prospect to an Insured

  1. Locate the Prospect

    • Use the Dynamic search or left navigation to Prospects/Leads in the menu

  2. Open the Prospect’s Detail Page

    • Click the name to view their full profile

  3. Click the “Actions” Button (Upper Right Corner)

    • Select “Convert to Insured” from the dropdown menu

  4. ✅ That’s it — they’re now treated as an Insured

    • The system unlocks access to all features normally reserved for insureds (Policies, Certificates, Billing, etc.)


Reverting an Insured to a Prospect

If you convert someone by mistake — and no policies exist on their record — you can revert them back to a Prospect:

Step-by-Step:

  1. Go to the Insured’s profile

  2. Click Actions in the upper right corner

  3. Select “Make Prospect”

⚠️ This option is only available if no policies are attached to the record.


Best Practices

  • Do not manually convert Prospects if you're about to create a policy — the system will handle it automatically

  • Only use manual conversion if you’re working ahead or need access to insured-specific features

  • Keep your database clean by not converting Prospects prematurely, unless it supports your workflow
