During Momentum AMS onboarding, importing your agency’s existing data is a critical step to ensure you can begin using the system with complete and accurate records.
This process allows you to bring in insureds, carriers, MGAs, and policy details in bulk, eliminating the need for manual re-entry.
Data That Can Be Imported
Momentum AMS supports bulk importing of many record types, including:
Insureds (Commercial and Personal)
Prospects (Commercial and Personal)
Policies
Carriers and MGAs
Commission Schedules
Contacts and Certificate Holders
Tip: Always import insureds first, followed by carriers/MGAs, and then policies. This ensures all linked data maps correctly.
Import Templates
Download Insureds Import Template
Download Prospects Import Template
Download Policies Import Template
Each template includes the correct column headers and example data formats to ensure a smooth import.
Preparing Your Data for Import
Use the Correct File Format
All imports must be in CSV format.
Avoid special characters in headers or data fields.
Unique Field Names
Ensure each column header is unique and matches the field mapping in Momentum AMS.
Data Formatting
Dates: Use MM/DD/YYYY format.
Dollar amounts: Numeric values only, no currency symbols.
Phone numbers: Include area code and no extra characters.
Remove Duplicates
Clean your source file to avoid duplicate records during import.
First Import with Support
Your first import should be done with a Momentum AMS representative to ensure proper mapping and no data loss.
Steps to Import Data
Navigate to the Data Import Tool
In the left navigation menu, scroll down to Miscellaneous and click Data Imports and Export.
Select Data Type
Choose the type of record you want to import (e.g., Insureds, Prospects, Policies).
Download Sample Template (or use the ones above)
Click Download Sample File to see the correct field headers.
Upload Your File
Click Choose File, select your CSV/Excel file, and upload.
Map Fields
The system will display your file headers.
Map each header to the corresponding Momentum AMS field.
Validate Data
Click Generate Import Preview and confirm data being imported is in the correct fields.
Complete Import
The duplicates check will depend on the type of data being imported. If checked it will not import duplicates, but for things like policies or commissions you would want to uncheck this option.
Click Import # Objects to load the data into Momentum AMS.
The system will highlight any missing or invalid data.
Best Practices
Import order matters – Always start with insureds, then carriers/MGAs, then policies.
Test with a small batch first to verify mappings before importing the full dataset.
Keep a backup copy of your original spreadsheet in case you need to re-import.
