Momentum Mail Add-In

1. Information We Collect

The Momentum Mail Add-In allows users to log email communications directly into the Momentum Agency Management System. To facilitate this, the Add-in accesses and processes the following data from the email currently open in your Outlook application:

• Email Metadata: Sender name, sender email address, recipient(s), subject line, and date/time stamps.
• Email Content: The body of the email message (text and HTML) used for context analysis and record logging.
• Attachments: Files attached to the email message, which are uploaded to the Momentum AMS storage associated with the matching insured or policy.
• User Identity: Your email address (Outlook user) is used to authenticate your account with Momentum AMS and assign ownership of the created tasks or notes.

2. How We Use Your Information

The information collected by the Momentum Mail Add-In is used solely for the purpose of providing the Add-in's functionality:

• Matching Records: We use the sender's email address to search your existing Momentum AMS database to find matching Insureds or Leads.
• Contextual Analysis (AI): We process email content to identify business events (such as quote inquiries or certificate requests) to suggest relevant tasks.
• Record Keeping: We save the email content and attachments into your specific Momentum AMS account as a permanent record of communication.
• Task Creation: If you choose to create a task or note, the email subject and body are used to populate these fields automatically.

3. Data Storage & Retention

Data processed by the Add-in is transmitted securely via HTTPS to the Nowcerts Momentum AMS servers. Once the data is saved to your Momentum AMS account:

• It is subject to the standard data retention and security policies of the Momentum AMS platform.
• The Add-in itself does not retain a separate permanent cache of your emails after the transaction is complete.

4. Data Sharing and Disclosure

We do not sell, trade, or rent your personal information or email contents accessed via this Add-in to third parties. Data is only shared with:

• Your Organization: Information saved to Momentum AMS is accessible to other authorized users within your specific agency account, based on your internal permission settings.
• Service Providers: We may use trusted cloud infrastructure providers (e.g., Microsoft Azure) to host the application logic, which are bound by strict confidentiality and security obligations.

5. Security

We implement industry-standard security measures, including SSL/TLS encryption for data in transit, to protect the information transmitted between your Outlook client and the Momentum AMS platform.
